Does my business need a chatbot or a simpler automation?

A chatbot is useful when conversation helps someone find or provide information. A simpler automation often fits a task that follows clear rules. Do not add a chat interface to a process that a short form or reliable notification could handle more clearly.

Describe the job without naming a tool

Answering opening-hours questions and notifying a manager about an enquiry are different jobs. The first involves presenting information; the second can be a straightforward event-driven workflow. Neither automatically requires a generative AI agent.

List the inputs, expected answer or action, and situations needing a person. If one fixed answer covers a question, a well-written page may already solve much of the problem.

Consider the visitor's effort

A form gathers known details with clear labels. Chat may help when the route depends on a varied question, but it can also add unnecessary steps. Test whether the interface helps people complete the task rather than simply appearing more advanced.

For example, a repair enquiry might need a platform, symptom and reply address. A direct form could collect those facts efficiently. A knowledge assistant becomes more relevant when questions span a substantial information set.

Decide what the system may do

Answering is different from changing an order or committing to a price. Establish those boundaries and the handoff route. A confident response is not evidence that the system has authority to make a commitment.

A successful automation can be almost invisible to the customer. Choose the interface that makes the work clearer, and use conversation where it adds practical value.
