It is not the full wishlist with decorative features removed. Scope the workflow, essential controls and evidence that will show whether it works.

Choose one useful outcome

Describe who starts the process, what they provide and what completion means. “A manager can approve a request” is more testable than “a modern operations platform.” Identify the minimum roles and information needed.

Map unhappy paths too. What happens when information is missing, a request is rejected or the connection fails? Failure handling belongs in the first version when the task depends on it.

Distinguish controls from convenience

Authentication, permissions, validation and recovery may be essential even for a small application. Advanced dashboards and broad integrations can often wait. Prioritise the user's task and the consequences of mistakes.

An enquiry tracker might first need capture, assignment, status and a clear handover. A forecasting dashboard should not delay those functions unless forecasting is the application's central purpose.

Define the pilot review

Choose representative users and test data. Agree acceptance checks, a feedback period and the person who decides what changes next. Record observed problems rather than immediately adding every feature someone requests.

My application development service starts with these questions. Read How do I write a website brief a developer can quote accurately? for an initial brief and What happens when an automation fails halfway through? for operational planning.

A strong first release gives the business something usable and assessable. Its value comes from completing the right task with clear limits, then using feedback to guide the next phase.
